Please read this privacy notice (“Notice”) carefully as it contains important information on the collection, storage, use and sharing (“Processing”) of your Personal Data by 4i Apps Solutions Pvt Ltd in connection with your use of our website, social media pages that link to this Privacy Notice, your interactions with us at events, and in the context of other online or offline sales and marketing activities.

1. KEY TERMS

4i Apps Solutions Pvt Ltd, a private limited company registered in India under company registration number 068041 with its registered office is at HQ, 2nd Floor, OMR, Kazhipattur, Chennai, Tamil Nadu, India, 603103

2.1 This Notice governs 4i’s processing of Personal Data related to: 

  • Individuals who access Payday’s websites and social media platforms that refer to this Privacy Notice (“Sites”);
  • Customers, prospective customers, and their representatives; 
  • Suppliers, business partners, and their representatives; and 
  • Attendees of Payday events, webinars, conferences or trade shows. 

2.2 This Notice does not apply to the following data processing activities: 

a. Customer’s Personal Data:  
When providing Payday payroll or HRMS services, 4i may process Personal Data on behalf of its customers to perform contracted services. If you’re a 4i customer and we process Personal Data as part of our services, please see our Customer Services Privacy Notices. 

b. Personal Data collected by 4i’s customers: 
Our customers are independently and separately responsible for how they collect and process data, including when they use Payday’s products or services to handle your Personal Data.  

3.1 We collect and use the following categories of Personal Data about you:  

  • Name, email address, telephone number, and company details; 
  • Links to your professional profiles (e.g., LinkedIn) and information from third-party accounts you connect with us for example social media channels (e.g., YouTube, X, Instagram, Facebook) or third party platforms; 

    Details about how you use our Sites; 
  • Responses to surveys, competitions, and promotional campaigns; and 
  • Company data such as the name, size and location of the company you work for and your role within the company as well as publicly available company information and activity associated with company data. 

3.2 We collect most of this Personal Data directly from you, in person, by telephone, email via our website, social  media platforms, third party platforms when you show interest in learning more about us or our products and services, engage with us on social media or otherwise reach out to us 

3.3 However, we may also collect information from cookies on our Site—for more information on our use of cookies, please see our cookie policy. 

What we use your Personal Data for

5.1 We will use your Personal Data to send you updates (by email, text message, telephone or post) about our products and services, including exclusive offers, promotions or new products and services. You do, however, have the right to opt out of receiving marketing communications at any time by: 

5.2 We will always treat your Personal Data with the utmost respect and never sell OR share it with other organisations outside the 4i group of companies for marketing purposes. 

6.1 4i operates internationally, with service delivery and support functions based across multiple jurisdictions. Personal Data may be processed in countries outside of your own with transfers being done in accordance with applicable data protection laws. Where such Personal Data is transferred to a location that does not offer an equivalent level of data protection, 4i implements appropriate safeguards as required under applicable data protection laws such as standard contractual clauses or other approved transfer mechanisms to ensure your Personal Data remains protected. 

6.2 We may share Personal Data with the following categories of third parties for legitimate business purposes: 

  • Service providers engaged by 4i to support business operations such analytics, website administration, customer support and similar functions; and 
  • Authorities or legal entities, where required to comply with applicable laws, legal processes (such as subpoenas), or lawful government requests. Disclosure may also occur when necessary in good faith to protect our rights, safeguard user or public safety, investigate suspected fraud, or support law enforcement. 

6.3 We only allow those organisations to handle your Personal Data if we are satisfied they take appropriate measures to protect your Personal Data. We also impose contractual obligations on them to ensure they can only use your Personal Data to provide services to us and to you. 

6.4 We or the third parties mentioned above occasionally also share Personal Data with: 

  • our and their professional advisors (such as lawyers and other advisors), in which case the recipient of the information will be bound by confidentiality obligations; and 
  • law enforcement agencies, courts, tribunals and regulatory bodies to comply with our legal and regulatory obligations; 

We will not keep your Personal Data for longer than we need it for the purpose for which it is used. Different retention periods apply for different types of Personal Data. Following the end of the of the relevant retention period, we will delete or anonymise your Personal Data in accordance with applicable laws. 

8.1 We have appropriate security measures to prevent Personal Data from being lost accidentally, or used or accessed unlawfully. We limit access to your Personal Data to those who have a genuine business need to access it. Those processing your Personal Data will do so only in an authorised manner and are subject to a duty of confidentiality. We continually test our systems and are ISO 27001 certified, which means we follow top industry standards for information security. 

8.2 We also have procedures to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so. 

You have the following rights depending on your country of residence, which you can exercise free of charge:

—at any time to your Personal Data being processed for direct marketing (including profiling) and causing material or psychological damage to you or others or making the data publicly available.; 

—in certain other situations to our continued processing of your Personal Data, e.g. processing carried out for the purpose of our legitimate interests unless there are compelling legitimate grounds for the processing to continue or the processing is required for the establishment, exercise or defence of legal claims 

Not to be subject to automated individual decision making 

The right not to be subject to a decision based solely on automated processing (including profiling) that produces legal effects concerning you or similarly significantly affects you 

The right to withdraw consent 

If you have provided us with a consent to use your Personal Data you have a right to withdraw that consent easily at any time 

You may withdraw consent by contacting us at support@paydaysuite.com; or replying to our email requesting to ‘unsubscribe’. 

Withdrawing consent will not affect the lawfulness of our use of your Personal Data in reliance on that consent before it was withdrawn 

9.2 You may have the following additonal rights depending on your country of residence: 

India 

  1. the right to nominate any individual to act on your behalf in case of your death or incapacity to exercise applicable rights; 
  1. the right to raise a request to exercise your Data Principal rights mentioned herein or under law or further raise grievance pertaining to your Personal Data with us; and 
  1. the right to be informed about the purpose of processing at the time of collection.

    These rights are subject to your performance of the following duties, namely: 

    (a) complying with the provisions of all applicable laws for the time being in force while exercising rights; 

    (b) ensuring not to impersonate another person while providing Personal Data for a specified purpose; 

    (c) ensuring not to suppress any material information while providing Personal Data for any document, unique identifier, proof of identity or proof of address issued by the State or any of its instrumentalities;  

    (d) ensuring not to register a false or frivolous grievance or complaint with Guess or the Data Protection Board; and  

    (e) furnishing only such information as is verifiably authentic, while exercising the right to correction or erasure. 

Bahrain 

  1. To have your Personal Data stored in a manner which does not make them identifiable; and 
  1. To have your Personal Data protected and not to disclose the data to any unauthorized party without your consent

Do let us know what right you want to exercise and the information to which your request relates. 

9.4 If your Personal Data is processed on the basis of consent, you have the right to withdraw consent to the use of your Personal Data at any time. 

Please contact us if you have any queries or concerns about our use of your Personal Data (see below ‘How to contact us’). We hope we will be able to resolve any issues you may have. In any event, you always have the right to lodge a complaint with the competent Supervisory Authority (i.e. your place of habitual residence, place of work of place of alleged infringement) or to appeal before the judicial Authority if you consider that the processing of your Personal Data is contrary to the legislation in force.
